5 Tips to Help You Budget for Travel

Do I really need a budget for travel?

Travel is exciting and wonderful, but the costs can add up quickly if you're not prepared. Creating a budget doesn’t just ensure you stick to your financial goals—it also makes your trip more enjoyable, as you won’t be stressing over unplanned expenses. Often when I talk to clients about a budget, they either have a budget or tell me I don’t really have one. However, everyone has a number or budget – so when I ask if I come back with a $15,000 quote are you going to be upset? Is this travel advisors way of helping you think about those pesky details.

Budgeting for Travel

Having a budget is important and necessary to ensure you and your travel agent are on the same page.  Here are five practical ways to help you budget for travel, making sure you get the most value out of every dollar.

1. Set a Realistic Daily Budget

One of the best ways to manage your travel finances is to calculate a per-day budget. Take everything you would consider an expense: airfare, accommodations, meals, transportation, and activities. Once you have a clear idea of what you can spend per day, it becomes easier to control overall expenses and avoid overspending.

Example of how to budget: Based on 2 people going to the Costa Rica

  • Start with your Total Budget: 10,000

  • Take your Total Budget and subtract your airfare cost : $10,000- $1,200= $8,800

  • Now take the left over budget and divide it by the number of people going on the trip ($8,800/2= $4,400), then take the amount per person and divide by the number of days -this will give you the amount per person/per day ($4,400/7= $628.57)

Tip: Tools like budget apps or spreadsheets can help you track and monitor your spending in real-time, ensuring you stay on target. Check out Trabee single/family trip expenses and Splitwise for Group Travel.

2. Book Flights Early and Be Flexible

Airfare is often one of the largest expenses for a trip. Booking early (3 to 6 months in advance) usually helps you secure better rates. Another way to save is by being flexible with your travel dates. Flying mid-week or during off-peak times often results in cheaper flights. Additionally, avoid booking basic economy unless you are comfortable with restricted seating and fewer amenities.

3. Choose Accommodations Wisely

Accommodations are a major part of your travel experience and budget. The key is to select the option that offers the right balance of comfort, amenities, and cost based on your preferences and budget. Here’s a breakdown of what to expect from luxury, moderate, and budget hotels:

Budgeting for hotels

Luxury Hotels: Luxury hotels are ideal if you're looking for a high-end experience. These properties typically offer top-tier services and amenities that make your stay exceptional.  Locations are usually prime, such as beachfront, downtown, or historic landmarks.

Moderate Hotels: Moderate or mid-range hotels offer a comfortable balance between quality and price, ideal for travelers who want a more affordable stay without sacrificing essential amenities. Mid-range hotels often focus on convenience.

Budget Hotels: Budget hotels are designed for travelers who prioritize cost savings and practicality. These accommodations focus on providing the essentials for a comfortable stay at a much lower price.

Tip: Consider alternative accommodations like boutique hotels, which often provide better value and unique experiences at a lower cost. Booking during shoulder season can also reduce hotel prices significantly.

4. Plan for Meals

Food is often a major expense when traveling, but there are ways to keep it in check. Allocate a daily food budget by researching the cost of meals at your destination. Often $80 dollars a day will give you three meals and two or three adult beverages.

5. Prioritize Your Activities

It’s tempting to do it all, but not every experience is necessary to enjoy a destination. Prioritize the activities that are must-dos for you and then add in other activities as the budget allows.
